Privacy & Terms

This policy outlines the responsibilities of Kannemeyer Coaching, with regards

to the collection, processing, storage and disposal of personal data collected from clients.

1. Personal data Kannemeyer Coaching collects is...

    Your name.

    Your email address.

    Your home address (in instances of sending invoices & agreed face to face coaching).

    Your phone number/s.

    Notes on each of our coaching sessions (For purposes of continuity).

2. Personal data is collected from...

    You, the client only. In the form of emails, phone calls, face to face, online platforms or via the Website.

3. Personal data collected by Kannemeyer Coaching is used for the following...

    Creating invoices for the client.

    Creating invites for introductory calls, coaching & Motivational Maps sessions.

    Taking notes during coaching conversations.

    Verification & recording of my coaching hours for accreditation purposes.

    With permission from the client, marketing of Kannemeyer Coaching via testimonials on the Website & Social

    Media.

4. Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this

    Your consent. You can remove this consent at any time by emailing ian@kannemeyercoaching.co.uk

    I have a contractual obligation.

    I have a legal obligation.

    I have a vital interest.

5. Personal data collected by Kannemeyer Coaching...

    including emails from you, your name, phone contacts & address is stored within a password protected

    email account on a private PC and mobile device. Both devices are password protected.

 

6. Introduction, Coaching and Motivational Maps notes written by me on paper from our sessions are stored in

    a secure environment at Kannemeyer Coaching. These notes will use your initials only, not your name.

    Initials of the client will also be used when verifying & recording coaching hours for accreditation purposes.

7. Kannemeyer Coaching will keep your information on file as follows...

    Your email address - Indefinitely as a source of future contact.

    Your name, address, contact number & email address collected on invoices are kept

    securely for a period of 5 years where VAT has not been collected and a period of 7 years where it

    has, in accordance with HMRC policy. After these milestones, your records are permanently deleted.

    Notes made during coaching are kept until the end of all our sessions together and then shredded.

8. Under data protection law you have rights including...

    Your right of access - The right to ask me for copies of your personal data.

    Your right to rectification - The right to ask me to rectify personal data you think is inaccurate and/or

    information you think is incomplete.

    Your right to erase - The right to ask me to erase your personal data in certain circumstances.

    Your right to restrict processing - You have the right to ask me to restrict processing of your personal

    data in certain circumstances.

    Your right to object processing - You have the right to object to the processing of your data personal

    data in certain circumstances.

    Your right to data portability - You have the right to ask me to transfer the personal

    data you gave me to another organisation or yourself in certain circumstances.

    You are not required to pay any charge for exercising your rights if a request is made.

     I have 30 days to respond to your request.

9. Notes taken during our coaching conversation are for our mutual benefit and will support me

    in providing continuity and key points/reminders from each of our sessions. They will only be known

    by the client (you) and myself. You may request to see what has been written at anytime.

    As mentioned in section 7, any notes I make will be shredded after our final coaching session,

    except invoices which I am legally required to keep securely until the times stated in section 7.

     Data Breach

10.In the unlikely event of a data breach, Kannemeyer Coaching will inform affected parties within

     48 hours of becoming aware of the breach, in writing. All known details of the breach will be relayed to

     the affected parties.

     Should a data breach occur all passwords for storage and software will be changed to reinstate security.
